Most of the back-and-forth in booking event catering happens because the basics weren't ready upfront. Have these five things ready before you reach out, and the whole process takes one conversation instead of five.
1. The Date and Time
Not just the date โ the actual time food needs to be ready. A morning puja and an evening family gathering have very different prep timelines, and a caterer needs to know which they're planning around.
2. Approximate Guest Count
An exact number isn't necessary upfront, but a range ("around 30-40") lets a caterer estimate quantities and give you a real quote instead of a vague one. It's fine to firm this up closer to the date.
3. Menu Preference
Satvik, strict Jain (no onion-garlic, no root vegetables), or regular pure vegetarian โ deciding this upfront avoids a confusing mid-planning switch. If you're unsure which applies, describe what the occasion calls for and a good caterer will guide you.
4. Venue and Delivery Details
Where the food needs to arrive, and whether it's a home, a hall, or a dharamshala/temple premises โ this affects both logistics and sometimes what serving format makes sense (individual plates vs. large serving containers).
5. Any Specific Dishes You Want
If there's a particular sweet, a specific thali structure, or a dish that's traditional for your occasion, mention it early. Most of the menu can be planned around your core preferences plus a caterer's suggestions.
